About the Opportunity
We are seeking an experienced and customer-focused Property Manager to oversee the day-to-day operations of a growing portfolio of residential and mixed-use properties throughout the Halifax Regional Municipality. This role is responsible for ensuring properties are well-maintained, financially sound, compliant with regulations, and provide an exceptional experience for tenants and stakeholders.
The ideal candidate is highly organized, proactive, and capable of balancing tenant relations, property maintenance, financial management, and vendor coordination while supporting the continued growth of the organization.
Key Responsibilities
Property Operations
- Oversee the daily operations of assigned residential, commercial, and mixed-use properties.
- Conduct regular property inspections to ensure cleanliness, safety, and maintenance standards are met.
- Coordinate preventative maintenance programs and capital improvement projects.
- Ensure compliance with municipal, provincial, and regulatory requirements.
- Respond to property emergencies and coordinate after-hours support when required.
Tenant Relations
- Serve as the primary point of contact for tenants and residents.
- Address tenant inquiries, concerns, and complaints in a professional and timely manner.
- Coordinate lease renewals, move-ins, move-outs, and tenant onboarding.
- Foster positive tenant relationships and support high tenant retention rates.
- Manage conflict resolution and ensure compliance with lease agreements.
Financial Management
- Develop and manage annual operating budgets.
- Monitor property revenues and expenses to achieve financial objectives.
- Review rent collections and work collaboratively to address arrears.
- Approve invoices and oversee vendor contracts.
- Prepare monthly property performance reports for leadership.
Vendor and Contractor Management
- Source, negotiate, and manage service providers and contractors.
- Ensure work is completed on time, within budget, and to expected quality standards.
- Maintain strong relationships with suppliers, trades, and service providers.
- Monitor contractor performance and compliance with safety requirements.
Leasing and Occupancy Support
- Work collaboratively with leasing teams to support occupancy targets.
- Review market trends and recommend rental rate adjustments.
- Support marketing and tenant attraction initiatives as required.
- Participate in property tours and prospective tenant meetings when needed.
Health, Safety & Compliance
- Ensure properties meet all applicable health, safety, and building code requirements.
- Coordinate fire safety inspections, emergency preparedness planning, and regulatory reporting.
- Maintain accurate property records and documentation.
- Support risk management initiatives and insurance requirements.
Qualifications
- 3+ years of property management experience, preferably within residential, commercial, or mixed-use portfolios.
- Post-secondary education in Business, Property Management, Real Estate, Facilities Management, or a related field is considered an asset.
- Knowledge of Nova Scotia residential tenancy legislation and property management best practices.
- Strong understanding of budgeting, financial reporting, and contract management.
- Experience working with property management software and Microsoft Office Suite.
- Valid driver's license and ability to travel between properties as required.
